In this chapter, we are moving away from just learning "about" computers and starting to look at how we actually use them to do work. This chapter focuses on the journey that facts take—from raw, messy numbers into clear, professional documents. Whether you are using a spreadsheet, a database, or a word processor, the skills of entering, organising, and formatting are the "bread and butter" of your Practical Paper (Paper 2).

1. Data vs. Information: What's the Difference?

In ICT, these two words mean very different things. Understanding the difference is the first step to success!

  • Data: These are raw facts and figures that have no meaning on their own. Example: 42, 18, 25. Without context, we don't know if these are ages, temperatures, or house numbers!
  • Information: This is data that has been processed or organised so that it has meaning and context. Example: "The ages of the students in the club are 42, 18, and 25." Now it makes sense!

The Golden Rule: Information = Data + Context + Structure.

Did you know? Computers are great at storing data, but humans need information to make decisions.

2. Types of Information

When you are working on your practical tasks, you will deal with four main types of information. You need to be able to "bring these together" to achieve a purpose (like making a newsletter or a report).

A. Text

Used for titles, paragraphs, and labels. In ICT, we often call this alphanumeric data because it can include letters, numbers, and symbols.

B. Numbers

Used for calculations. In a spreadsheet, you use numbers to find totals or averages. Remember, if you aren't going to do math with it (like a phone number), it is often treated as text!

C. Images

These make your work engaging. You might use bitmaps (like photos) or vectors (simple shapes and lines). You will often need to crop or resize these to fit your layout.

D. Animation

Moving images usually found in presentations or web pages. These help grab the audience's attention, but use them carefully—too much animation can be distracting!

3. Entering and Organising Information

Before you can format a document, you have to get the data into the computer and keep it tidy.

Entering Data

This isn't just typing! You might enter data by:
• Typing text into a Word Processor.
• Importing a CSV file into a Spreadsheet.
• Using a Data Entry Form in a Database to ensure records are added correctly.

Organising Data

Once the data is in, it needs a structure.
• In Databases, we organise data into Tables, Records (rows), and Fields (columns).
• In Spreadsheets, we use Worksheets and Cells.
• In Word Processing, we use Tables, Columns, and Heads to keep things readable.

Quick Tip: Always use sensible filenames and folder structures when saving your work. This is part of File Management and helps you find your files quickly during the exam!

4. Developing and Refining Information

This stage is about "polishing" your work. Don't worry if your first draft looks messy—everyone's does! Developing and refining means making the content better and more accurate.

  • Editing: Adding, changing, or deleting text and images. For example, deleting "unwanted aspects" of an image to make it clearer.
  • Refining: This is about making things more precise. In a spreadsheet, it might mean changing a formula so it uses absolute cell referencing \( (\$A\$1) \) instead of relative referencing.
  • Proofreading: Checking for spelling, punctuation, and grammar (SPaG) errors. Software tools like spellcheckers are great, but they don't catch everything (like using "there" instead of "their")!

5. Formatting Information

Formatting is how you change the appearance of the information to make it "fit for purpose" and suitable for your audience.

Text Formatting

You should choose fonts based on where they will be read:
Serif Fonts: These have little "feet" or decorative strokes at the ends of letters (like Times New Roman). They are often used for printed books and reports.
Sans Serif Fonts: These do not have "feet" (like Arial). They are easier to read on digital screens and are great for headings.

Other Formatting Techniques:

  • Alignment: Left, Right, Centre, or Justified (lined up on both sides).
  • Emphasis: Using Bold, Italics, or Underline to highlight important words.
  • Spacing: Using Line Spacing and Margins so the page doesn't look too "crowded."
  • Consistency: Following a House Style. This means using the same colours, fonts, and logo throughout all your documents so they look like they belong to the same company.

Summary Checklist for Your Practical Exam

When working on Topic 5 tasks, always ask yourself:

  1. Is it accurate? Have I proofread and checked my data entry?
  2. Is it organised? Are my tables clear? Are my database fields correctly named?
  3. Is it formatted? Did I use the correct font types (Serif vs Sans Serif)? Does the colour choice make sense?
  4. Is it fit for purpose? Does this look like a professional letter/poster/report?
